Missed calls, missed appointments: a phone AI that books straight into the practice calendar
Whoever is in a consultation cannot answer the phone. An AI phone assistant takes the call and books the appointment straight into the Viali calendar, under the practice's rules and without patient record data.
TL;DR
An AI phone assistant answers the practice's calls, offers free times from Viali's live availability, confirms day, time and details with the caller and books the appointment straight into the Viali calendar, only once Viali has accepted it. Viali gives it only free times and the service list, no patient record data. The Viali side is included in every plan; the phone assistant is a partner service with its own price. The connection to Viali is built and tested. The phone assistant is not available yet; the launch follows shortly.
When the phone rings and nobody is free
In a practice, the phone often rings exactly when everyone is busy: a patient is at the front desk, a consultation is running in the treatment room, the reception is not staffed over lunch. The call goes to voicemail or is not answered at all.
Not everyone calls a second time. Someone who wanted an appointment may try another practice or put it off. And whoever is due a call back lands in the same bottleneck: call-backs take time, and not everyone can be reached on the first try. Few practices know exactly how many appointments are lost this way, precisely because missed calls are rarely counted.
Taking a message is not enough
A phone AI can take the call when the team cannot. What matters is what happens next. If it only takes a message, someone still has to call back, find a time and enter the appointment by hand. The work has only been moved.
A phone AI becomes useful when it can really book the appointment: with the practice's real free times, under the practice's rules, and so that the appointment is in the calendar at once. That is why we connected Viali with an AI phone assistant. The phone assistant itself is a partner's service; Viali provides the connection to the calendar.

How a call goes
- 1Reason. The assistant speaks in natural language, in German and other languages. It asks the reason for the visit and picks the matching service from the clinic's Viali service list.
- 2Free times. The times come live from Viali, under the same rules as the online booking: the provider's hours, closures and the duration of the service. It offers two or three times.
- 3Details. It asks for first name and surname. The phone number is the caller's number unless they give another. It takes an e-mail address only if the caller offers one.
- 4Confirmation. Before booking, it repeats day, time and details. If the clinic has a no-show fee notice, it reads it to the caller and books only after the caller accepts.
- 5Booking. It confirms the appointment only once Viali has accepted the booking. If the time has been taken in the meantime, it offers new times. If the same booking is requested twice, there is still only one appointment.
The assistant gives no medical advice and does not read IDs aloud.
What arrives in Viali
The appointment is in the Viali calendar at once, with the caller's reason as a note. The source of the booking is visible in Viali, so the team sees which appointments came in by phone.
Existing patients are recognised by name and phone number. If there is no matching person, Viali creates a new patient.
What stays with the practice
- The rules. You keep maintaining hours, closures and service durations in Viali as before. The phone assistant books under the same rules as the online booking and cannot give away a time that Viali does not offer as free.
- The patient data. Viali gives the phone assistant only free times and the service list. No data from the patient record goes to the AI. What the caller says is passed to Viali to create the booking.
- The calendar. The appointment is created in Viali, not in a second system. There is nothing to reconcile.

Frequently asked questions

What happens if the time has been taken in the meantime?
Then the assistant offers new times. If it sends the same booking twice, there is still only one appointment.
